The Employee Timecards page includes timecards for the employees selected from the Employee Summary page or from the main menu (Time > Timecards). Your employees can use hourly timecards The type of timecard used by employees who punch in and out several times each day. or project timecards The type of timecard used by employees who charge time to projects instead of precise in and out times.. The timecards you view and work with as well as the information you have access to depend on how the timecards are configured and your access rights.

Note: When viewing the timecard, resizing the browser window is not supported. If you resize your browser window to a width that is less than 768 pixels, then you will need to refresh the browser and the timecard will then display in list view.

On a mobile device, the timecard displays time in a list view, where each list item contains all the information for one day. The information varies depending on the type of timecard.

  • Hourly timecard — Each day displays the day of week, punches The entries on a timecard that mark the beginning (in-punch) or end (out-punch) of a work interval, such as the beginning of a shift or transfer., paycodes A category of time or money that employees earn, for example, Regular Hours, Bonus, or Sick., schedule, total time to date, and an Action Required icon indicates if you need to address exceptions, pending changes, or overtime. An ellipses indicates that there is more information not visible at this level.
  • Project timecard — Displays projects for each day. Daily, weekly and timeframe totals as well as the employee's schedule are also displayed

The current timeframe, total for the current timeframe, and an approval status panel are displayed above the list boxes in a rollup area.

You access the Employee Timecards page from the Employee Summary page or from the main menu (Time > Timecards). When you first open the Employee Timecards page:

  1. Tap Select Timeframe for the time to display and Select Hyperfind A search engine that filters and selects groups of employees through queries that specify conditions or locations (criteria). for the appropriate search criteria.
  2. Note: Within a timecard, you can only select a Hyperfind from the Locations & Hyperfinds menu. If you need to select a location, open the Employee Summary page (Time > Employee Summary), select the location, and then open the employee timecards.
  3. Select an employee's timecard in the name selection field. Tap the down arrow to locate the employee.
  4. To view more information, tap a day. This opens the day detail panel, which displays timeframe and totals to date as well as punch details, paycodes with amounts, shift totals, and exceptions. From here you can access additional panels used to add comments, projects punches, paycodes, and transfers, and more.

The selected employee's timecard opens, ready for your review.

When you first open the Employee Timecards page:

  1. Click Select Timeframe for the time to display and Select Hyperfind for the appropriate search criteria.
  2. Note: Within a timecard, you can only select a Hyperfind from the Locations & Hyperfinds menu. If you need to select a location, open the Employee Summary page (Time > Employee Summary), select the location, and then open the employee timecards.
  3. Select an employee in the name selection field. You can do this in several ways:
    • Click the down arrow next to the first employee's name to open the employee list. Scroll down to select an employee.
    • You can also search for an employee by entering part or all of an employee name in the Search box at the top of the employee list.
    • Click the right or left arrows to view the next or previous employee's timecard.

The selected employee's timecard opens, ready for your review.

Note: As necessary, you can click tap Refresh from the upper right corner of the workspace to refresh the timecard data, while retaining the selected employee, timeframe, and Hyperfind. Note that if you click tap the browser's Reload button, the page returns to the default timeframe.

Timecard views

Across the top of the timecard is the action bar. Depending on the type of timecard displayed, you can:

  • Add and remove approval and signoff
  • Move and reset accruals
  • View the rule analysis report
  • Add a new project
  • Calculate timecard totals
  • Save the timecard

Depending on your access rights, you may also be able to go to your schedule, reports, People Information, or Attendance details.

The main area of a timecard can be displayed in a table view or a list view. Click Table View or List View to toggle from one view to the other.

Table view

The table view is in a grid format that varies depending on the type of timecard:

  • Hourly timecard — Displays the days for the selected timeframe with columns that contain schedule, absence, and assignment information, in and out punches, transfer, paycode, and amount information, as well shift, daily, and, time period totals.
  • Date Schedule Absence Assignment In Out Transfer Paycode Amount Shift Daily Period
  • Note: The Assignment column only appears for employees that have multiple assignments.

  • Project timecard — Displays projects (which consist of paycodes and transfers) for each day of the week. Weekly, and timeframe totals can also be displayed. If configured, schedules and daily totals display on a separate row.

Navigation notes

  • You can click and drag the column dividers from the heading row to change column widths. The widths are saved until you change them.
  • You can enter time directly in a cell and advance to the next cell by tab.
  • If you hover over a cell in the timecard grid, a tool tip displays data for the cell. For example:
    • Date cell — Displays exceptions and date
    • In-Punch or Out-Punch cell — Displays punch time, exceptions, and whether someone edited the cell.
    • Paycode cell — Displays full paycode name and exceptions.
    • Amount cell — Displays the amount, exception, and whether someone edited the cell
  • When there are multiple exceptions in the same timecard cell, the multiple exception icon displays, but the tool tip lists all of the exceptions, for example: Short Shift, Early Out,CoreHours Violation.

List view

The list view displays each day in the selected timeframe. The days are arranged in a responsive layout that varies depending on the width of the timecard. On a desktop device at maximum width, up to four days are displayed in each row. As the width decreases, the days wrap until there is only one day per row. The information in the days varies depending on the type of timecard.

  • Hourly timecard — Each day lists punches, paycodes, schedules, daily total, and total time to date.
  • Project timecard — Each day lists the schedule, projects and total hours.

An Action Required indicator appears if you need to address exceptions or overtime. Approval according to the status legend might be visible there as well. An ellipses indicates that there is more information not visible at this level.

A rollup area above the days displays the timeframe selected, total for the current timeframe, and an approval status legend.

When you click tap a day, the day detail panel opens. This panel displays timeframe and totals to date as well as punch details, shift totals, and exceptions. From here you can access additional panels used to add comments, punches, paycodes, and transfers, and more.

Note: If a punch, paycode, or scheduled shifts cross the midnight divide The time when one day ends and another begins. When a shift starts on one day and ends on the next day, the system enters a purple punch to end the first day and another purple punch to start the new day. at the beginning or end of the selected timeframe, the additional days are displayed and calculated as part of the selected timeframe in both table and list views. If configured, the midnight divide times display in purple.
